Worked example
Example: ingredients $120 + eight active labor hours at $25/hour ($200) + $20 packaging + $80 delivery and setup cost = $420 entered cost. At a 35% target gross margin, $420 ÷ 0.65 = about $646.1538, displayed as $646.16. A $200 deposit would leave $446.16. This illustration excludes tax, card fees, rentals and any cost not entered; it is not a suggested market rate.

Define the cake and the guest count
Enter the promised servings, number of tiers, flavors or fillings, and a short design description. State which decorations, flowers, toppers, stands or rentals are included; note separately anything supplied by the couple or venue. Do not turn an inspiration image into an unqualified promise.
Price the delivery and setup you can perform
Record the event date, venue or pickup point, and agreed arrival or setup window. Include travel, loading, assembly and onsite work in your cost estimate where applicable. Venue access, refrigeration, table readiness and a contact person can change the practical scope, so confirm them before the quote is accepted.
Show payment timing and change boundaries
The preview separates total, requested deposit and remaining balance. Enter an agreed balance due date and use the notes for confirmed design-approval, guest-count or delivery-change deadlines. The template does not collect a payment or define cancellation rights for you; use terms you have actually agreed and that fit your business.
Common questions
Should tasting or rental charges appear here?
Yes, if they are part of this offer. State in the notes whether a tasting fee, stand rental or refundable deposit is included, separate, or credited later; adjust the final total accordingly.
What if the venue or serving count changes?
Recheck ingredients, labor, transport and setup, then issue a revised quote for the customer to accept. Do not silently change a price that has already been accepted.
