How do I include bakery overhead in my prices?
List recurring costs that your recipe and labor inputs do not already cover. Divide the monthly total by a realistic number of sellable orders to estimate overhead per order, then add that amount to other order costs before applying your target gross margin. Revisit the estimate when order volume changes.
Separate overhead from direct costs
Ingredients used in a cake, a cake box, and hands-on decorating time belong in their direct fields. Shared costs such as equipment maintenance, business software, permits, or a portion of utilities may need an overhead allowance. Do not add a cost twice if it is already in your hourly rate or another field.
Make the denominator realistic
Suppose eligible recurring costs total $300 per month and you expect 100 sellable orders. That is $3 of overhead per order. If you can reliably sell only 60 orders, the same costs require $5 per order. Use a cautious volume estimate; a high forecast makes each quote look artificially cheap.
See the effect on one quote
A cake with $38 of direct entered cost and a $3 overhead allowance has $41 in worksheet cost. At a 30% target gross margin, $41 ÷ 0.70 is about $58.5714, displayed as $58.58. At a $5 allowance, the same direct costs yield $43 ÷ 0.70, displayed as $61.43. Enter the allowance in Other order costs; do not add it again to an hourly rate that already includes overhead.
Choose a fairer rule when orders differ
One flat allowance may not fit a small cookie order and a three-day celebration cake. If orders vary widely, allocate overhead by labor hours or another consistent driver you can record. The calculator does not perform that allocation for you; enter the resulting amount for each order.
Review real results
Compare your estimated monthly order volume and overhead with actual figures. A target margin on the costs entered is not a guarantee of business profit: unsold goods, tax, refunds, and costs you omitted can change the outcome.
